Business Continuity/Disaster Recovery/Risk Management
We have one aim, to deliver the services we have described, uninterrupted and to the highest level possible. Our Business Continuity Plan (BCP) includes a secure secondary storage site, electronic document storage and fully trained contingency staff available within our predefined acceptable recovery time period. Tied to our disaster recovery and risk management plan our BCP is ready to implement should a disaster or accident occur, we test our BCP bi-annually to ensure the readiness of our staff and procedures. Our disaster recovery and risk management plans are monitored annually to ensure that all eventualities are considered, they are updated accordingly should there be a new threat or risk to our business.
Documented Quality Management System
Our Quality Management System is based on two elements, appropriate certification of our staff to ensure that they operate at a level that far exceeds the minimum requirements to undertake the described services and our CFS (Client Feedback System) which involves a short electronic survey filled out quarterly to help us monitor the performance of our cleaning operatives and take appropriate action should performance fall below agreed upon standards. Quality is at the forefront of what we do and ensuring that we deliver our services to the highest quality possible is an essential part of our business objectives.
Environmental Management Policy
Impact on the environment is something that SPR Contract Cleaning takes very seriously. We have been and are still actively seeking to engage with suppliers that provide materials with the lowest possible negative impact on the environment. Our policy extends as far as electronic payslips for staff as well as keeping paper-based correspondence to an absolute minimum across all areas of our business. Most of our document storage is done electronically and we are striving to increase this percentage even further through electronic contract signing and invoicing. Our staff are briefed accordingly to any changes with the materials they are issued to ensure that they are using them correctly and in the least harmful way to the environment. Our environmental policy is reviewed and re-distributed to all our staff annually.
Sustainability Policy
We monitor sustainability primarily but not exclusively through how well we meet the requirements of our own environmental policy. We also endeavour to monitor the sustainability and environmental impact of our suppliers when sourcing materials to ensure that we are supporting like-minded businesses for minimal negative environmental impact. We operate employee best practice recommendations by encouraging our staff to travel together wherever possible and to recycle all packaging and materials in the workplace.
Safeguarding Policy
Our staff members are all briefed on our safeguarding of children and vulnerable adult’s policy which highlights the importance of recognising any signs of abuse but advocates the need to report such signs to the relevant authorities. It is important that our staff do not attempt to interfere in such cases as it may put them at risk. We ask all potential employees to disclose any information which might make them unsuitable to work with children or vulnerable adults, our employment terms detail that anyone found to be hiding such information will have their employment terminated. We understand that there are instances where our employees will come into contact with vulnerable adults or children and we are confident that our safeguarding policy prepares them to deal with such instances in a friendly and professional manner.
Identity Card Scheme
All of our employees are issued with company identity cards that carry their name, a photograph, our company logo and a unique employee number. We ensure that our clients receive a list of the employees that will be providing services on their site(s) which includes the photograph and the unique employee number. We encourage our employees to carry their identity cards with them at all times so that upon request it can be shown to any of your staff or tenants who might be worried about the identity of one of our employees. In the event of a lost identity card we aim to replace it within 7 days, should you require authentication of one of our employees or have any doubts regarding the authenticity of an identity card we are available to contact via mobile telephone to verify any of our employees around the clock.
